Event Terms and Conditions
Entering the Event
I understand and agree that I participate in the Cycle Derby Sportive entirely at my own risk and that no responsibility whatsoever shall attach to any event sponsors, race directors, or any person involved in the organisation of the event for any injury, accidents, loss or damage suffered by me in, or by reason of the event, however such may be caused.
I am aware of the physically strenuous nature of this event, the risks both medically and physically and I confirm that I am healthy and fit (physically and medically) enough to complete the Cycle Derby Sportive. I accept that should any medical or physical condition arise prior to the event which is likely to affect my ability to compete will be a reason to withdraw in accordance with these conditions.
By submitting an application online and paying a fee for entry into this event I understand and agree to abide by the terms and conditions, the instructions given by the organiser and race officials.
I shall not be eligible or entitled to participate in the event until full payment of the entry fee has been received by the event organiser. No payment shall be deemed to have been received until the event organiser has received cleared funds.
Organising a sporting event requires a considerable amount of forward planning, time, risk and expense. Costs are incurred from the moment we create a “live” event. These include administrative, insurance, advertising, marketing, equipment, website and staff costs. As an event draws nearer, we continue to incur costs, many in relation to the number of entrants in the event.
Once you have entered an event the entry system will allow you to edit your details, substitute your race entry or move between events, for example, if you can no longer take part in one event, you can move to a different event on our race calendar and pay the difference. These facilities are available up until SEVEN DAYS before an event takes place. This is to allow the athlete as much flexibility as possible. It is the responsibility of the athlete to make sure the information they provide is accurate as it is then used to inform other companies involved in the running of the event in the provision of race numbers and/or timing for example.
If you still need to withdraw from an event we need to be notified in writing at least SEVEN DAYS before the event. This can be done by emailing . In the seven days leading up to the event and on race day, race entries are NOT transferable to any other person or any other event as changes to the entry database requires considerable time and cost in administration; the race fee is therefore forfeited. Any participant found to be competing with someone else’s number will be disqualified from the event.
Rules and Regulations
As a participant in the Cycle Derby Sportive, I agree to abide by all applicable rules and regulations that are relevant to the event. I agree that I will not be entitled to a refund of the event fees if I am disqualified from the event as a result of an infringement of these Conditions or any such rules and regulations.
I understand that it is my responsibility to provide and use a roadworthy bicycle, helmet, or other safety requirements to ensure compliance with the event and British Cycling rules and regulations. The use of tri-bars is not permitted in the sportive.
We strongly discourage the use of any equipment that acts as an impediment to hearing or concentration when competing. This includes, but is not limited to, mobile telephones, personal stereos and MP3 players. Organisers of the Cycle Derby Sportive cannot be responsible for accidents resulting from racing with such equipment.
Race Format Alterations or Cancellations
If for reasons beyond the control of the organisers of the Cycle Derby Sportive, including an ‘act of God’ due to unforeseen, naturally occurring events that were unavoidable, the race, which applicants have entered is cancelled or postponed, the organisers of the Cycle Derby Sportive will issue a full Race Credit to the value of the original entry fee or transfer the applicants entry to another race where requested.
Alternatively, if a race is cancelled by the organisers of Cycle Derby Sportive which applicants have entered is cancelled for any other reason, the organisers of Cycle Derby Sportive will offer a full refund.
Whilst the organisers of the Cycle Derby Sportive take every care in staging the event, I acknowledge that personal accident and personal items insurance is my sole responsibility.
The organisers of the Cycle Derby Sportive shall not be liable to the participant for any loss or damage of or to personal equipment belonging to the participant, or any indirect or consequential loss or damage whatsoever arising out of the participant taking part in the event; or for any loss of business; revenue or profit; loss of reputation; anticipated savings or wasted expenditure; pledges made on your behalf or by you to charity. The organisers of the Cycle Derby Sportive will not be liable for any actions of any spectators or other third parties.
I accept that any mechanical support received on my bike from partners, participants or other third parties is at my own discretion and I will not hold anyone else responsible for any subsequent bike malfunctions or resulting injury.
I accept that should my bike be transferred in any vehicle during the event, such as the sweep vehicle, I accept it is placed and transferred in the vehicle at my own risk and the organisers of the Cycle Derby Sportive are not liable for any damage caused during this process.
Nothing in this agreement shall affect our liability for death or personal injury, fraud, or any other liability to the extent it cannot be excluded or limited by law.
Timing and Results
The organisers of the Cycle Derby Sportive, together with the timing company, will use best endeavours to provide an event finish time for the participant, however, it cannot be held responsible for any computer result anomalies or any technical malfunctions.
The organisers of the Cycle Derby Sportive will primarily use email to communicate with its competitors. By entering this event, I agree to receive emails from the event organiser. Where the email is a newsletter or promotion from one of our partners, it will have an ‘unsubscribe’ link, but race-specific emails do not have this link. All specific event emails and race information packs that are sent to competitors are also posted on the website race page.
Your details are collected by the organisers of the Cycle Derby Sportive and will be used for the purposes of organising, staging and administering the event; it will only be shared with other organisations if it is necessary for the running of the event (e.g. the chip timing company, medical team, etc.). We may also send you selected special offers and discounts from our event sponsors and partners but your details will not be passed to these partners.
Medical information provided will only be used to allow medical assistance to be given on the event date. Personal information and data may also be used by the organisers of the Cycle Derby Sportive and our event partners in connection with the compilation of statistical information and to improve health and safety procedures at future events. By providing us with your details, you consent to these terms and conditions.
I agree to comply with all event rules and all instructions and guidelines given by race crew, stewards, marshals, and safety personnel. I acknowledge and agree that the organisers of the Cycle Derby Sportive will organise and run the event and will have sole authority and be the final arbiter on all decisions relating to the safety, running and organisation of the event, the rules of the event, the timings/finish times and the placings.
By entering my details and ticking the terms and conditions box on the online entry form, I am acknowledging that I have read and that I understand the event terms and conditions as stated by the organisers of the Cycle Derby Sportive.
